WSGA Board Meeting Minutes

January 8, 2006

Board Members

Present: Paul West, Tisha Barber, Cathy Hornback, Ed Graves, Laurie Freeman, Robin DeRock

Absent: Jon Stanley 

Proceedings: 

Meeting called to order at 9:00 AM by President Paul West 

Finances:

Treasurer report was unavailable because accounts and records are still in transition from previous treasurer to current treasurer.  President Paul West proposed that the WSGA form a non-profit corporation to take ownership of WSGA assets and accounts.  All members present agreed, and we will look into whether we qualify for Federal 6501(C )3 status and getting a tax ID #.  We will need WSGA members to agree to a disclaimer to protect the WSGA from liability if incorporated. 

All board members will be given deposit slips so that if funds are collected at meetings when the treasurer is not present, they can go directly into the bank.  There should be at least two board members with access to WSGA accounts in case something happens to one of the members with access. 

WSGA Member Coins:

We will wait to see how many members register before end of January deadline to qualify for member coins, and make order based on that total.  Back side die of coin will be made available to WSGA members for personal coins. 

WSGA Chapter Coins:

We will get Member at Large Jon Stanley’s advice before deciding on details of Chapter coins.  He has a great deal of knowledge and experience with coins.  We would like to have the coins trackable on geocaching.com. 

2006 Campout:

Suggestions for location are Lake Chelan, Lake Cushman, or Squilchuk.  Board decided to use Lake Chelan for 2006 and if available, Lake Cushman for 2007.  We will approach WSGA members from those areas to see if they would like to help host the campouts.  Any summer picnics will be hosted by individual chapters and open for all to attend. 

Bylaw Revisions:

We need a bylaw amendment to define a Chapter.  Should it have a minimum membership requirement and should it be defined by a boundary?

Should the position of Member at Large be changed to Chapter Representative?  We will draft a proposal and vote on these issues at the next board meeting. 

New WSGA Chapter:

Should we approach the Southeast WA geocachers group and see if they would like to become a chapter and replace the current Yakima Chapter?  Robin and Tisha volunteered to visit the area and ask the members there. 

New Website:

The site looks good so far, but still needs some tweaking.  We need to transfer ownership of the web domain to the WSGA.  Paul will create a board member section on the website to assist in communication between board members.
